Privacy Policy

MS Maler & Byg - Mail Agent is an internal tool operated by MS Maler & Byg ApS (CVR 39707284, Fyrrebakken 5, 3300 Frederiksværk, Denmark) for its own company mailbox. It is not offered to the public.

What the app accesses

With the owner's consent the app reads messages in the company Gmail mailbox and uses the Gmail scopes gmail.modify (read messages, apply labels, archive, create reply drafts) and gmail.send (send invoices and receipts to the company's bookkeeper and a confirmation to the owner).

How the data is used

• To classify incoming email (for example invoice, receipt, customer enquiry) and apply Gmail labels.
• To prepare reply drafts, which a person reviews and sends. Replies to customers are never sent automatically.
• To forward supplier invoices and receipts to the company's bookkeeping inbox and to report unpaid invoices to the owner.

Where the data goes

• Message text and PDF attachments needed for classification are sent to the Anthropic API for processing. They are not used for advertising.
• Decision logs (sender, subject, category, labels) are stored on a private server in the EU (Helsinki, Finland) operated by the company.
• Invoices and receipts are sent only to the company's bookkeeper. Data is not sold or shared with other third parties.

Photos and files sent by customers

Photos and documents that customers send by email or through the upload link are used only to prepare an offer and to carry out the job. Each file is encrypted when it is received, so that the server cannot read it; it can be opened only by the company owner. Files are deleted 30 days after the project has been paid, unless you ask us to delete them earlier (contact below). Files are never used for advertising and are not shared with third parties.

Retention and deletion

Logs are kept while the tool is in use. The owner can revoke access at any time at myaccount.google.com/permissions and ask for logs to be deleted.

Google API Services User Data Policy

The app's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
